AI Transparency & Responsible Use Policy

Last updated: September 2026

⠀
At Growth Architect, we use artificial intelligence as a tool to improve research, analysis, productivity and the delivery of our work.

⠀
We also recognise that the use of AI introduces legitimate questions around confidentiality, accuracy, intellectual property, data handling and accountability.

⠀
This policy explains how we approach those responsibilities.

⠀
OUR CORE PRINCIPLE

⠀
AI may assist our work. It does not replace human accountability.

⠀
Growth Architect remains responsible for the advice, strategy and work we provide to our clients.

⠀
We do not treat an AI-generated answer as inherently accurate simply because it was produced by an advanced system. Where AI contributes to substantive client work, appropriate human judgment and review remain part of the process.

⠀
HOW WE MAY USE AI

⠀
Depending on the engagement, AI tools may assist us with activities such as:

⠀
• Research and information synthesis
• Analysing or organising information
• Brainstorming and exploring strategic options
• Drafting and refining content
• Summarising information
• Identifying patterns or opportunities
• Workflow automation
• Administrative and operational tasks
• Supporting the development of marketing, growth and go-to-market strategies

⠀
We may also advise clients on the practical adoption of AI and automation within their businesses.

⠀
WHAT AI DOES NOT REPLACE

⠀
We do not outsource strategic accountability to AI.

⠀
AI outputs may inform our thinking, but decisions involving client strategy, recommendations, positioning, commercial judgment or other material business decisions remain subject to human judgment.

⠀
Where an AI system produces something that appears convincing but cannot be reasonably substantiated, we do not knowingly present it as fact.

⠀
CLIENT INFORMATION AND CONFIDENTIALITY

⠀
We treat client confidentiality seriously regardless of whether AI is involved.

⠀
We do not intentionally place passwords, authentication credentials or other information that is clearly inappropriate for third-party AI processing into public or consumer AI tools.

⠀
Where client information is used with an AI-enabled service, we consider the nature of the information, the purpose for which it is being used and the safeguards available within the relevant platform.

⠀
Particularly sensitive or confidential information may be excluded, anonymised, minimised or handled through more appropriate systems.

⠀
Our existing confidentiality obligations to clients continue to apply when AI tools are used.

⠀
HUMAN REVIEW

⠀
AI-assisted work is not automatically considered finished work.

⠀
The level of human review will depend on the nature and risk of the task.

⠀
For substantive strategy, client recommendations and externally published material, Growth Architect applies human review and professional judgment before relying on or delivering the work.

⠀
Routine, low-risk administrative automations may operate with less direct intervention where appropriate controls have been established.

⠀
ACCURACY AND VERIFICATION

⠀
AI systems can produce incomplete, outdated or incorrect information.

⠀
Where factual accuracy is material to our work, we take reasonable steps to verify important information against appropriate sources rather than relying solely on an AI-generated response.

⠀
Clients should also understand that AI technology changes rapidly and no AI system can guarantee complete accuracy.

⠀
AUTOMATED ACTIONS

⠀
We distinguish between AI that provides information and AI that is authorised to take actions.

⠀
Where AI or automated systems can interact with business tools, data, communications or operational systems, we consider what the system can access, what actions it can take and where human approval should be required.

⠀
Higher-risk or consequential actions should not be given unrestricted autonomy simply because they can be automated.

⠀
THIRD-PARTY AI PLATFORMS

⠀
Growth Architect may use third-party technology and AI providers as part of our operations and client work.

⠀
These providers maintain their own security, privacy, data retention and AI policies, which may change over time.

⠀
We assess tools according to their intended use and the nature of the information involved, but we cannot control the operation or policies of independent third-party platforms.

⠀
INTELLECTUAL PROPERTY

⠀
AI creates new and evolving questions regarding copyright, ownership and intellectual property.

⠀
We do not knowingly represent third-party intellectual property as our own.

⠀
Where AI contributes to the creation or development of material, we apply human input and review appropriate to the intended use of that material.

⠀
TRANSPARENCY WITH CLIENTS

⠀
We do not believe every routine use of AI requires a disclaimer.

⠀
However, where the use of AI is material to how a service is being delivered, affects client information, or meaningfully changes the nature of an agreed service, we aim to be transparent with the client about its use.

⠀
Clients are welcome to ask how AI is being used within their engagement.

⠀
OUR APPROACH TO RESPONSIBLE AI

⠀
Our approach can be summarised simply:

⠀
Use AI for capability.
Use humans for judgment.
Use appropriate controls for risk.
Keep accountability with people.

⠀
AI will continue to change, and so will the risks and opportunities associated with it.

⠀
Growth Architect will review and update this policy as our use of AI, relevant technology and accepted business practices evolve.
